CaptionBoss

Frequently asked questions

What is CaptionBoss?

A video content workspace. Upload a video once and get a transcript, ready-to-post captions for TikTok, Instagram, YouTube and Facebook (plus Spanish versions), TikTok-style captions burned into the video itself, AI thumbnails, vertical clips, a blog draft for your website, and a Social tab to post, schedule and track it all.

What can I upload?

Video or audio in common formats — even a whole podcast. Uploads are fast because only the audio travels for transcription. Choose Full video when you want clips and thumbnails from the footage, or Fast — captions only for the quickest turnaround. Already have a transcript? Drop the .txt or .srt in instead.

How long does it take?

Captions usually land within minutes of upload. A captioned video is usually back in under a minute, pro thumbnails take about 30 seconds a take, and cloud clips render in a few minutes depending on length.

How do captions match my brand's voice?

Set your brand voice once in Settings and every caption, variant, and blog post is written in it. Each platform gets its own conventions — hashtag counts, line breaks, lengths — and Español versions are one tap away.

What are face profiles?

Add 5-20 good photos of each person who appears in your videos, once. The thumbnail engine trains on them so pro thumbnails keep everyone looking like themselves — even with multiple people on one channel. Faces are used only for your thumbnails, and you can remove a profile anytime. Only add people who've given you permission.

How do pro thumbnails work?

Open a project → Thumbnail tab → Pro. Tap the free "3 concepts" button to have the AI read your video and pitch thumbnail ideas, pick the faces you want in the shot, and generate. Each take uses one pro credit from your plan's monthly allowance; the quick editor (frames + text styles) is unlimited.

How do clips work?

The Clips tab scans your transcript for the strongest 20-60 second moments, then renders vertical 1080×1920 clips in the cloud with your words on screen as they're spoken. Download to your browser or save straight to your camera roll on mobile.

Can it put the captions on the video itself?

Yes — open a project and tap the Video tab. Pick a look (Bold, where the spoken word lights up; Clean, a full line on a soft box; or Pop, one big word at a time), a highlight colour and lower third or middle, and watch it play over your own video before anything is made. Filmed landscape? Choose Vertical 9:16 for TikTok, Reels and Shorts. Then post the captioned version straight from the project or save it to your phone. Videos up to 5 minutes; Starter includes 20 a month, Creator 100 and Agency 400.

What does it cost?

Three plans, each with a 14-day free trial. Starter is $15/month (or $150/year) for one channel that is just getting going: 60 minutes of video, 20 captioned videos, 3 pro thumbnails and 30 posts a month, with captions, posting and the calendar but no clips, blog writer or Spanish versions. Creator is $39/month (or $390/year — two months free) for one brand: 300 minutes of video, 100 captioned videos, 30 pro thumbnails and 150 posts a month. Agency is $149/month (or $1,490/year) for up to five brand workspaces sharing 1,000 minutes, 400 captioned videos, 100 pro thumbnails and 600 posts; extra brands are $25/month each (or $250/year) and each adds 200 minutes, 20 thumbnails and 120 posts to the pool. Need more pro thumbnails? Top-up packs are a one-time $12 for 20. Billing is handled by Stripe.

How does the free trial work?

Every new account starts with 14 days free on Starter — no card needed. Pick any plan under Settings → Plan & usage whenever you're ready: your remaining free days carry over and the card is only charged when they run out. We email you three days before the trial ends. If it ends before you choose, your projects stay viewable and copyable; uploads and posting pause until you pick a plan. One trial per person.

What happens if I cancel?

You keep full access until the end of the period you've paid for, then the workspace goes read-only: every project, caption, transcript and thumbnail stays viewable and copyable, and uploads, new captions, clips and posting pause until you restart a plan. No partial-month refunds, and we never delete your work when a plan ends.

What counts toward my minutes?

The length of what you upload for transcription, totalled per calendar month and reset on the 1st. Pasting in a transcript you already have doesn't count. Captions, Spanish versions, blog posts, clips and quick thumbnails don't use minutes, and captioned videos have their own monthly count. On Agency, all of your brand workspaces draw from one shared pool.

How do I delete my account?

Go to Settings → Account → Delete my account. It shows exactly what goes before anything happens: your login, every workspace only you own (with its uploads, files, linked social accounts and face profiles) and any paid plan on them, which is canceled right away. Workspaces you share with another owner stay with them. Type your email to confirm. You can also email support@captionboss.com and we'll do it for you.

Can I run several brands or clients?

Yes — that's what Agency is for. Five brand workspaces are included under one subscription, each with its own brand voice, team, connected social accounts and projects, and you can add more at $25/month per brand straight from Settings → Plan & usage. Minutes, thumbnails and posts are pooled across all of them, and one Stripe bill covers everything.

Can my team use it?

Yes — invite members to your workspace, assign who posts each video, and they get a "you're up" email when captions land. Want a sign-off step? Turn on Require approval and nothing goes out until an owner approves it.

Can CaptionBoss post for me?

Yes. Link TikTok, Instagram, YouTube and Facebook once under Social → Accounts (you sign in with the platform itself — CaptionBoss never sees a password), then every project gets a one-tap Post button. Send the original video or the version with captions on it, with the words exactly as written, now or on a schedule — and the live link lands back in the project. Disconnect any time.

How do I track what's been posted?

Every project has a per-platform checklist — posts sent from CaptionBoss check themselves off; for anything you post by hand, tap the icon, or hit ✅ Mark everything posted to check them all at once. Social has the calendar for your week and Recent posts — everything that went out, with live links, and anything that didn't and why. Monday mornings you get a recap of what went out and what's next.

Is my content private?

Your workspace is only visible to members you invite, and our team doesn't look at your content. We don't sell your data, don't use your content for advertising, and don't train our own AI models on it. Full details in our Privacy Policy.
